Why pharmacies choose Virtual Reception

Tangible benefits for your pharmacy

Automated prescription refill management

The AI assistant handles prescription refill requests around the clock. Customers call or message on WhatsApp, confirm their details, and the request is queued in the dashboard for the pharmacist to validate -- freeing your pharmacists to focus on the counter, dispensing, and patients in store.

Calls answered even at peak times

The cloud architecture answers in parallel on every line of your phone system. No more busy signals during flu season or after long weekends: customers get an answer even at peak times.

Bookings for instrumental services on site

The virtual assistant handles appointment requests for ambulatory blood pressure monitoring, spirometry, and first-line blood tests: it collects the details you need, offers available time slots, and updates the pharmacy calendar. The service runs 24/7, so customers can book even outside opening hours.

Estimated reduction in phone workload of up to 70%

By our estimates, an hour of calls handled by staff costs EUR 18-20 on average, while with AI the cost drops to about EUR 6. Pharmacy staff are freed from repetitive phone tasks and can focus on in-person care at the counter, dispensing, and supporting patients on the shop floor.

What clients say

Experiences from healthcare facilities using the Virtual Reception

Polyclinics

The AI assistant gives us the ability to welcome our clients by phone 24/7, actively supporting our switchboard team during normal working hours.

Physiotherapy

We started our collaboration with Run2AI in September. From the very first months of setup, they proved to be serious, professional and very helpful. We've been operational since January and I must say that both the switchboard and the chatbot work great, offering patients the ability to make appointments 7 days a week, 24 hours a day. Truly congratulations!

Eye Care

The Virtual Reception is a real breakthrough for our front desk because, thanks to the callback function, every request is automatically tracked and no patient goes unanswered.

Physiotherapy

Overall, the feedback is undoubtedly positive. In these first weeks, the Virtual Reception has proved to be a valuable support in managing closing-hour periods.

Dermatology

The feedback is positive and, after the initial training, the Virtual Reception performs adequately.

Polyclinics

We are very satisfied with our new virtual colleague Monica, who is giving us invaluable help in managing phone calls, both with the information she provides and with callback requests, because she summarizes the subject of the callback request very well.

Polyclinics

The system is working. Operators daily check the bookings made during extended counter opening hours and have not found any issues so far. Thank you for your constant availability.

Polyclinics

We started working with Run2 a while ago and were pleased to find competent people who are quick to respond and to adapt to our various needs. Favorable opinion.

Diagnostics

We are enthusiastic about the potential of the “Virtual Reception” platform: in these first months of use we have seen a clear improvement in how patient contact is organized. Special thanks go to the Run2AI team for their constant availability, professionalism and the attention they have shown in meeting our customization needs.

Polyclinics

“Virtual Reception” is proving to be a tool with enormous potential for optimizing the flow of contact with our patients. The experience so far has been extremely positive, thanks in part to the excellent work of the Run2AI team: impeccable support, great availability and genuine attentiveness in adapting the platform to our needs.

Polyclinics

We introduced Run2AI's Virtual Reception at our polyclinic, Centro Salute Raimondi in Gorla Minore, run by ARGENTUM, with the aim of easing the workload of our front desk and improving how patient requests are handled. The results have been very positive. One of the problems we wanted to solve was missed calls at the busiest times: today, thanks to Virtual Reception, patients no longer find the lines busy and can easily get information about schedules, appointments and procedures. The change has been important for our staff too: many repetitive requests are handled automatically, leaving more time for situations that need attention and direct contact. We are very satisfied with our choice. Run2AI has allowed us to use artificial intelligence in a genuinely useful and practical way, improving a service that is essential for our patients.

Polyclinics

Their “virtual reception” is a very useful tool for shortening patient waiting times, improving perceived quality and reducing workloads. We have successfully adopted it at our Metica Medical Centers. Excellent support from Run2AI at every stage of the project, from adoption and setup through to the ongoing maintenance and review of the service.

Diagnostics

Before talking about the excellent product, I want to highlight how responsive the company is to its clients and their needs. The product is very versatile, configurable for different needs and well integrated with external management software. In just a few steps you get a precise virtual operator that gives users the right information and books appointments accurately in the external management software. The management dashboard also lets us win back even the more “hesitant” clients, by keeping track of conversations. If you struggle, for lack of time or staff, to manage your communication channels, whether phone, web or WhatsApp, this is the solution.

After an initial phase of setup and data entry, the program starts to show its full effectiveness. For Biomedica srl it is an essential tool, because it lets us manage and relieve the flow of incoming calls in an orderly way. Without this service we would have kept losing business because we couldn't handle all incoming phone requests. Excellent operational support.

Frequently asked questions about Virtual Reception for pharmacies

Yes. Run2AI's Virtual Reception books the services your pharmacy offers by appointment, such as ambulatory blood pressure monitoring (holter), spirometry and first-line blood tests, offering only the free time slots in the pharmacy calendar.

Before proposing a date, the assistant reads the preparation instructions you have entered, such as fasting or pausing medication, and passes them on to the customer. For each service you choose how it behaves:

  • it books autonomously, when the calendar is connected;
  • it collects the request, which your staff then handle from the dashboard;
  • walk-in, when it only needs to explain hours and how the service works, without booking a slot.

The Virtual Reception collects prescription refill requests by phone and on WhatsApp and lines them up in the dashboard, where the pharmacist validates and processes them when there is a quiet moment at the counter.

Each request arrives with name, number and a summary and works like a simple ticket: yellow while it is pending, green once the customer has been contacted, with a record of who handled it and when. If a photo of a handwritten prescription arrives on WhatsApp, the assistant does not try to read it: it stops, the pharmacy receives an email notification and a member of staff replies to the customer directly. Voice messages are transcribed too and can still be played back. See how the channel works on the WhatsApp AI bot page.

No. The pharmacy's AI receptionist gives no advice on medicines, dosages, interactions or symptoms, because those questions belong to the pharmacist.

During opening hours the assistant transfers the call to the counter or to the extension you have chosen; when the pharmacy is closed, it logs a callback request with a summary of the question, so the pharmacist calls back already knowing what it is about. If the conversation reveals an emergency, it does not continue with the routine request and directs the caller to the emergency services (118 in Italy) or the emergency department. Its scope stays practical and informational: opening hours, on-duty rotas, services, preparation and bookings. That keeps customers safe and protects your pharmacy.

Your pharmacy decides: through your phone system rules you choose which calls go to the Virtual Reception, for example after-hours calls and those that come in when all your staff are at the counter.

Many pharmacy calls are short and repetitive: opening hours, on-duty rotas, available services, how to prepare for a holter or a spirometry test. The assistant answers using the information you enter in the dashboard and leaves to your staff whatever needs a person. With a VoIP phone system a dedicated extension is created; with a traditional line, a dedicated number is used with call forwarding when nobody picks up. The only limit on simultaneous conversations is the number of lines in your phone system: with twelve lines, the assistant can hold twelve conversations at once.

Yes. If your pharmacy does not use booking software, the Virtual Reception can work with Google Calendar or Outlook Calendar, reading availability and adding service appointments directly.

Your staff see the assistant's bookings straight in the pharmacy calendar, while the duration and preparation details of each service stay in the documentation the assistant uses to answer. It is the solution for pharmacies that currently keep appointments in a simple diary, even a paper one. Find out more on the Google Calendar integration page.

Yes. The Virtual Reception is built for multiple locations, so a pharmacy group or chain can run several branches from a single setup, with different information for each one.

For every pharmacy you set opening hours, address, duty rota, temporary closures and available services. If each branch has its own number, the assistant already knows where the call is coming from; with a single number, it asks the customer which pharmacy they mean. Staff can be assigned to one or more branches and see only their own requests in the dashboard. The cost per location goes down as the number of pharmacies grows, and you can start with a pilot in just one.

Yes. The Virtual Reception processes your pharmacy customers' data in line with the GDPR, with storage on Google Cloud Platform in Europe and AI models running in Europe.

Even the name of a medicine or a booked service can reveal health information, which is why:

  • conversations are encrypted at rest and visible only to people who sign in to the dashboard with their own credentials;
  • no model is trained on customer conversations;
  • your pharmacy chooses how long to keep them, with automatic deletion when that period ends;
  • the assistant introduces itself as a virtual assistant and points to your pharmacy's privacy notice.

Run2AI signs the agreement appointing it as your data processor. Other questions on privacy and call recordings are covered in the AI virtual receptionist FAQ.

The Virtual Reception for a pharmacy starts from €224 per month (excluding VAT) for the phone channel.

There are three cost components: a one-off activation fee covering setup, testing and staff training; an annual or quarterly subscription; and usage above the included allowance of 500 minutes of actual conversation per month, around 350 calls. Only the traffic that reaches the assistant counts: in our experience, pharmacies that use it after hours and during peaks often stay within the allowance. WhatsApp and website chat are added only if you need them.

Most pharmacies are live within 2–3 weeks, and you can call the free demo number on our website at any time to hear how it answers.
